Section 1: Introduction / はじめに

At work, deadlines are everywhere — a report, an email reply, a client project, or a group presentation. If you are not 100% sure when something is due, guessing is risky. Asking clearly is always the safer, smarter choice in business. Many Japanese learners worry that asking about a deadline will sound impatient or rude. But the opposite is true: asking politely shows that you are organized, careful, and professional.

5. Three Example Conversations / 会話の例 3つ

Conversation 1: Asking Your Manager About a New Report

DavidHey, can you take a look at the client report when you get a chance?
YouSure, no problem. Do you know when it's due?
DavidI think sometime next week, but let me check.
YouOkay, thanks. It would help me plan my week if I know the exact day.
DavidRight, sorry — it's due next Thursday, end of day.
YouGot it. Is that Thursday your time or the client's time zone?
DavidGood question — client's time zone, so Thursday morning for us.
YouPerfect, that's really helpful. I'll block out time on Wednesday to finish it.
DavidSounds good. Also, does anyone else need to review it before it goes out?
YouI'm not sure — should I send it to you first, or straight to the client?
DavidSend it to me first, just to be safe.
YouNo problem. Is a rough draft okay by Wednesday, or do you need the final version?
DavidA rough draft on Wednesday works fine — that gives us a day to polish it.
YouGreat, that's exactly the plan I had in mind.
DavidSounds good. Let me know if you run into any issues.
YouWill do. Thanks for clearing that up.

Conversation 2: Checking In With a Coworker Over Coffee

YouHey, quick question — do you know when our part of the presentation is due?
PriyaHmm, I think Mia mentioned something in the meeting, but I forgot the exact date.
YouSame here, honestly. I want to make sure we're not scrambling last minute.
PriyaGood point. Should we just message her?
YouYeah, let's do that. Also, do you know if it's just the slides, or do we need speaker notes too?
PriyaI'm not totally sure — I think just the slides for now.
YouOkay, I'll ask her to confirm both things at once. Do you want to split the slides in half?
PriyaSure, that works. Should I take the first section and you take the second?
YouSounds good. How many slides do you think we need in total?
PriyaMaybe eight or ten? I'll double-check with Mia when I message her.
YouPerfect. Let's also ask if there's a rehearsal before the real thing.
PriyaGood idea — I hadn't thought of that.
YouWill do — I'll message you as soon as she replies.
PriyaPerfect, thanks for staying on top of it.

Conversation 3: Meeting a New Freelance Client

AlexGreat, so I'd love for you to redesign our homepage.
YouThat sounds exciting. Do you have a timeline in mind for this project?
AlexWe're hoping to launch before our big sale event.
YouGot it — and when exactly is the sale event?
AlexIt starts on the 15th of next month.
YouOkay, so if I understood correctly, you'd need the final design by around the 10th, to leave time for testing?
AlexYes, exactly — the 10th would be ideal.
YouThat works well with my schedule. Is there any flexibility if something comes up?
AlexA few days of buffer should be fine, but not much more than that.
YouUnderstood. Will there be one round of revisions, or several?
AlexJust one round, ideally, since the timeline is tight.
YouThat's helpful to know. Should I send the draft to you directly, or to your whole team?
AlexTo me directly is easiest — I'll share it with the team after.
YouGot it. I'll build in a buffer and aim to send a draft by the 5th so we have time for that one round.
AlexThat sounds perfect. Thanks for asking — it really helps to have a clear plan.
YouOf course — I'd rather ask upfront than assume and get it wrong.

6. Naturalness Tips / 自然に聞こえるコツ

  • Tip 1: Add a softener or context / クッション言葉や理由を添える
❌ Blunt: "When is this due?"
✅ Natural: "Sorry to bother you — when is this due? I want to plan my week around it."
  • Tip 2: Use "so" or "because" to explain why / 理由を説明する
❌ Short: "Is this due Friday?"
✅ Natural: "Just to confirm, is this due Friday? I want to make sure I don't miss it."
  • Tip 3: Explain your situation when asking about urgency / 状況を伝えて緊急度を聞く
"How urgent is this? I have two other tasks due this week, so it would help to know."
"Is EOD Friday okay, or do you need it earlier? I want to make sure I block out enough time."
  • Tip 4: Extend a short response / 返答を一言伸ばす
    ❌ Abrupt: "Okay."
✅ Extended: "Okay, thanks — I'll start on that first thing tomorrow!"

7. What to Avoid / 避けたほうがいいこと

Mistake 1: Asking with no softener at all / クッション言葉なしで質問する

❌ "When is this due?"
✅ "Sorry to bother you, but when is this due?"
Mistake 2: Overusing "ASAP" / 「ASAP」を多用しすぎる

❌ "I need this ASAP."
✅ "Could you send this over as soon as you're able to?"
Mistake 3: Guessing instead of confirming / 推測して確認しない

❌ Assuming "by Friday" means end of the week without checking the time.
✅ "Is there a specific time this is due, or just the day?"
Mistake 4: Only asking for the date, never the time zone / タイムゾーンを確認しない

❌ Accepting "Thursday" without asking whose Thursday.
✅ "Is that Thursday in our time zone or theirs?"
Mistake 5: Translating Japanese politeness word-for-word / 日本語の丁寧さを直訳する

❌ "I am sorry for asking such a thing, but may I know when is the deadline is?"
✅ "Sorry to ask — do you know the deadline for this?"

8. Practice Template / 練習テンプレート

Template / テンプレート

[Softener], could you let me know the deadline for [TASK]?

Just to confirm, is [TASK] due on [DATE/TIME]?

Is there a specific time [TASK] is due by?

Worked Case Scenarios

Worked Example 1 — Office Worker::
"Sorry to bother you, could you let me know the deadline for the budget spreadsheet? I want to make sure I finish it before my other tasks pile up."

Worked Example 2 — University Student::
"Just to confirm, is the essay due on Monday? I want to double-check before I finalize my schedule for the weekend."

Worked Example 3 — Freelancer::

💡 Business tip: When working with international teams or clients, always clarify the time zone! Asking "Is that Thursday in our time zone or yours?" prevents costly misunderstandings.
