Chapter 1 — When and Why

Where Will You Use This?

Here are 5 real situations where asking for help is necessary and professional:

  • You don't understand the instructions. Your manager explained a task, but something is unclear. Ask for clarification right away.
  • You are using a new system or tool. The company software is unfamiliar. Ask a colleague to show you how it works.
  • You want to check your work before submitting. You finished a report or email, but you want a second opinion. Ask someone to review it.
  • You are behind schedule. The deadline is close and you cannot finish alone. Ask a teammate for support.
  • You have a communication problem. You received an email in English and are not sure what it means. Ask a coworker to help you understand it.

Why It Matters ·

  • Prevents small problems from becoming big ones:
  • Builds trust with your team:
  • Shows professionalism:
Chapter 2 — Core Pattern

The 4-Part Request Template ·

Almost every polite request for help at work follows this 4-part structure.

Part 1 → Greeting + apology opener — Start soft. Show respect for the other person's time.
Part 2 → Short context — Explain briefly what you are working on or what the problem is.
Part 3 → Clear request — Say exactly what you need. Be specific.
Part 4 → Thank you / closing — Always end with gratitude.

Example using the template /

  • Part 1 (Opener): "Hi Priya, sorry to bother you."
  • Part 2 (Context): "I'm working on the quarterly report, but I'm not sure how to format the summary section."
  • Part 3 (Request): "Could you take a quick look at what I have so far when you have time?"
  • Part 4 (Thanks): "Thank you so much, Priya."
Why this works /
「When you have time」で急かしていない印象を与えられます。

Priya
Sure, send it over. Actually, I finished mine last week — I can show you the template I used.
You
Oh, that would be amazing. Is it okay if I follow the same structure?
Priya
Totally. I'll send it to you now. The header format is a bit tricky, so I'll add a note explaining it.
You
Thank you so much, Priya. That's really helpful.

James
Ah, yes — it's a bit confusing at first. There's no official guide yet, but I can walk you through it now if you like.
You
That would be great. I don't want to log things in the wrong place and mess up the team's view.

Good thinking. Let's sit down for five minutes. I'll show you the right workflow.

Setting: The office break room. You run into your coworker Sofia while getting coffee. You need to send an important email to a client but want to check the tone first.

Hey Sofia, I hope I'm not disturbing you — do you have a second?
Sofia
Not at all, what do you need?
You
I'm about to send an email to the Tanaka account, but I'm not sure if the tone is right. Could you just read it quickly and tell me if it sounds okay?
Sofia
Sure, show me.
You
[You show her your phone.] I just want to make sure it doesn't sound too casual or too stiff.
Sofia
Okay… yeah, this part in the second paragraph sounds a little direct. I'd soften it — maybe say "we'd love to hear your thoughts" instead of "please respond."
「please respond」の代わりに「we'd love to hear your thoughts」とか。
You
Oh, that's a good catch. And the opening — is that okay?
Sofia
Yes, the opening is perfect. Very professional.
You
Great. Thank you so much — I always second-guess myself with client emails.
Sofia
Totally get it. You're good to send it now!
Chapter 11 — Naturalness Tips

Fluency Tips: Before vs After · 自然に聞こえるコツ

Check the differences between answers that sound unnatural and answers that sound natural when asking for help.

Tip 1: Add "just" or "quickly"

❌ Unnatural
"Could you check this?"
✅ Natural
"Could you just take a quick look?"

Tip 2: Give one reason

❌ Unnatural
"Could you check this email?"
✅ Natural
"Could you check this email before I send it? I just want to make sure the tone is professional."
「I want to make sure I'm doing this right」や「I don't want to make a mistake」など、一文で十分です。

Tip 3: Use "I think" or "I'm not sure"

❌ Unnatural
"This is wrong. Fix it."
✅ Natural
"I'm not sure if this is right — could you take a look?"
「I think」や「I'm not sure」を使うと表現が柔らかくなり、謙虚な印象を与えられます。

Tip 4: React to the answer

❌ Unnatural
[says nothing after getting help]
✅ Natural
"Oh, that makes sense! That's really helpful, thank you."
Chapter 12 — Common Mistakes

5 Mistakes to Avoid ·

Japanese English learners often make these mistakes when asking for help. Let's see how to fix them.

❌ Mistake 1 — Being too direct
"Help me with this." (sounds rude and demanding)
✅ Better
"Could you help me with this, please?"
必ず「Could you…?」や「Would you mind…?」
❌ Mistake 2 — Being too vague
"I need help." (with no context — the other person doesn't know what you need)
✅ Better
"I need help with the layout of the presentation slides."
❌ Mistake 3 — Apologizing too much (謝りすぎる)
"I'm so sorry, I'm really sorry to bother you, I'm really sorry…"
✅ Better
"Sorry to bother you, but could I ask a quick question?"
❌ Mistake 4 — Waiting too long to ask
Staying silent for hours (or days!) when you are stuck.
✅ Better
Ask as soon as you realize you need help — early questions prevent big mistakes.
❌ Mistake 5 — Wrong register with your manager
"Hey, can you fix this?" (to your manager or a senior colleague)
✅ Better
"Excuse me, would you mind taking a look at this when you have a moment?"
