How to Write a Polite Work Email in English — Dialogue Practice /
Practice writing polite work emails in English. 5 stages with vocabulary, real email dialogues, word scramble, roleplay, and free practice.
1. Introduction /
Writing a work email in English feels scary for many Japanese learners. You might worry: "Will I sound rude?" or "Is my English good enough?" The answer is yes — your English is good enough. Most polite work emails use the same simple patterns every time. You only need four things: a clear subject line, a polite greeting, a short and clear message, and a simple closing.
When do you use work emails? /
- Scheduling a meeting — 会議の日程確認・変更・キャンセル(confirming, changing, or cancelling a meeting time)
- Requesting a document or file — 書類・ファイルの送付依頼(asking a colleague or client to send something)
- Giving a status update — プロジェクトの進捗報告(telling your team about project progress)
- Asking a question — 同僚や上司への質問(checking a detail with a coworker or manager)
- Following up — 返信がないときの再連絡(checking in after no reply)
- Apologising or explaining a delay — 遅れや不都合のお詫び(letting someone know something is late)
2. Core Language Pattern /
Almost every polite work email follows this three-part template. Learn this, and you can write most work emails.
Part 1 — Opening: "I hope you are doing well. I am writing to [reason]."
Part 2 — Main point: "Could you please [action]?" or "I would like to [action]."
Part 3 — Closing: "Please let me know if you have any questions. Best regards, [Your name]."
"I hope you are doing well."
"I am writing to..."
"Could you please..." —
"Please let me know if you have any questions." —
"Best regards," —

5. Naturalness Tips /
- Tip 1: Don't just answer — add one more line.
Adding one follow-up line shows you are helpful and thinking about the other person. /
❌ "The meeting is on Monday."
✅ "The meeting is on Monday at 10:00 a.m. Please let me know if this time works for you." - Tip 2: Use "I am writing to..." to get to the point fast.
One sentence is enough. "I am writing to..." signals your reason immediately. 「I am writing to...」
❌ "Hello. I have something to ask you. I was thinking about the meeting. I want to change it."
✅ "I am writing to ask if we could reschedule Tuesday's meeting." - Tip 3: Soften requests with "when you have a moment" or "if possible."
"If possible" makes a request sound less like a demand. / 「If possible」
❌ "Send me the file by tomorrow."
✅ "Could you please send me the file by tomorrow if possible?" - Tip 4: Use "Thank you for your understanding" after inconvenient news.
Acknowledging the other person's inconvenience sounds professional and considerate. /
❌ "I cannot attend the meeting. Sorry."
✅ "I am afraid I cannot attend the meeting on Thursday. I apologise for the inconvenience, and thank you for your understanding." - Tip 5: Extend a short answer by offering next steps.
Telling people "what comes next" saves them from having to ask. /
❌ "I finished the report."
✅ "I have finished the report. I will send it to you this afternoon. Please let me know if you need any changes."
6. Common Mistakes to Avoid /
「Could you please...?」
❌ Wrong: "Send me the document."
✅ Correct: "Could you please send me the document?"
❌ Wrong: Subject: "Hi" / Subject: "Question"
✅ Correct: Subject: "Question about Friday's meeting" / Subject: "Request for sales report"
❌ Wrong: (Starting directly with) "I need the file by Friday."
✅ Correct: "Hello Ken, I hope you are doing well. Could you please send me the file by Friday?"
❌ Wrong: (One long paragraph with no spacing or structure)
✅ Correct: Use short paragraphs — one idea per paragraph. Leave a blank line between them.
「Please find the attached file.」
❌ Wrong: (Attaching the file but not mentioning it in the email body)
✅ Correct: "Please find the report attached." or "I have attached the file for your reference."
❌ Wrong: "I am so very sorry to bother you. I apologise deeply for asking. I feel terrible for taking your time."
✅ Correct: "I apologise for the short notice." or "Sorry for the inconvenience."
