Lesson Introduction

Polite Work Emails

By the end of this lesson, you will be able to write formulas like:

"I hope this email finds you well. Please find attached our latest layout metrics for your review."

Chapter 10 — Contrast Tone Blueprint

Casual Message Blocks vs. Polished Corporate Architecture

Observe how conditional phrasing increases the perceived respect metric significantly.

Tip 1: Framing File Attachments Elegantly

❌ Chat Style / Casual
"I put the file here inside. See it."
✅ Formal Work Email
"Please find attached the requested layout proposal for your review."

Tip 2: Softening Action Deadlines

❌ Demanding Command
"Please reply by Friday at 5 PM."
✅ Conditional Request
"I would appreciate it if you could reply by this Friday at 5 PM."
「I would appreciate it if you could...(〜していただけますと幸いです)」に変えましょう。

Tip 3: Launching Intent Assertively

❌ Conversational Slang
"Hey, I want to check next week's timetable."
✅ Clear Purpose Opener
"I am writing to confirm our meeting schedule for next week."
Chapter 11 — Severe Correspondence Hazards

5 Pitfalls in English Emails ·

Ensure your textual output does not cause professional misalignments due to loose tracking.

❌ Mistake 1 — Utilizing single-word or vague subject lines
"Question"
✅ Better
"Inquiry Regarding Pricing Plans - Yuki Tanaka"
❌ Mistake 2 — Forgetting conditional grammar buffers for requests
"Send me the metrics code layout immediately."
✅ Better
"Could you please provide the layout metrics at your earliest convenience?"
「Could you please...」や「at your earliest convenience(ご都合の良い最善のタイミングで)」で和らげます。
❌ Mistake 3 — Writing broken textbook infinitive closing sentences
"I look forward to hear from you."
✅ Better
"I look forward to hearing from you soon."
❌ Mistake 4 — Overusing exclamation marks or informal chat icons
"Thank you for your response!!! 😊👍"
✅ Better
"Thank you very much for your prompt response."
❌ Mistake 5 — Leaving names unspecified without standard placeholders
"Hey there," / "Hello,"
✅ Better
"Dear Hiring Manager," / "Dear Selection Committee,"
