Section 2 — The 3-part core template

- Part 1 — Opening: "I hope you are doing well. I am writing to [reason]." 第1部 — 書き出し:「お世話になっております。〜の件でご連絡いたしました。」
- Part 2 — Main point: "Could you please [action]?" or "I would like to [action]." 第2部 — 用件:「〜していただけますでしょうか。」または「〜させていただきたいと思います。」
- Part 3 — Closing: "Please let me know if you have any questions. Best regards, [Your name]." 第3部 — 締め:「ご不明な点がございましたらお知らせください。よろしくお願いいたします。[お名前]」
- "I hope you are doing well" — like saying お世話になっております. Use it almost every time. 「I hope you are doing well」= 「お世話になっております」にあたる定番表現。ほぼ毎回使えます。
- "I am writing to…" — tells the reader your reason immediately. Clear and direct without being rude. 「I am writing to…」= すぐに用件を伝える表現。失礼にならずにストレートに伝えられます。
- "Could you please…" — the polite way to make a request. Softer than "Please do…" and much softer than a command. 「Could you please…」= 依頼の丁寧な言い方。「Please...」より柔らかく、命令より大幅に礼儀正しい。
- "Best regards," — the standard, safe email sign-off. Always use this unless writing to a very close colleague. 「Best regards,」= 標準的で安全な締めの言葉。親しい同僚以外には必ず使いましょう。
