How to Write a Polite Work Email in English / 丁寧な英語のビジネスメールの書き方

Writing a work email in English feels scary for many Japanese learners. You might worry: “Will I sound rude?” or “Is my English good enough?” The answer is yes — your English is good enough. Most polite work emails use the same simple patterns every time.
英語でビジネスメールを書くのは怖く感じるかもしれません。「失礼に聞こえないかな?」「英語が足りないかな?」と心配するかもしれません。でも大丈夫です。丁寧なビジネスメールは、ほぼ同じパターンの繰り返しです。
You do not need advanced English. You need four things:
難しい英語は必要ありません。必要なのは4つだけです:

A polite email makes you look professional. It builds trust with clients and colleagues. Even a simple, short email — written politely — creates a good impression.

Almost every polite work email follows this three-part template. Learn this, and you can write most work emails.

Breaking it down / 各パーツの説明
- “I hope you are doing well.” → This is a warm, standard opening. It is like saying お世話になっております in Japanese. Use it almost every time. (温かい定番の書き出しです。日本語の「お世話になっております」にあたります。ほぼ毎回使えます。)
- “I am writing to…” → This tells the reader your reason immediately. It is clear and direct without being rude.(すぐに用件を伝える表現です。失礼にならずにストレートに伝えられます。)
- “Could you please…” → This is the polite way to make a request. It is softer than “Please do…” and much softer than a direct command.(依頼するときの丁寧な言い方です。「Please…」より柔らかく、命令より大幅に礼儀正しい表現です。)
- “Please let me know if you have any questions.” → This invites a reply and shows you are open and helpful.(返信を促し、協力的な印象を与えます。)
- “Best regards,” → The standard, safe email sign-off. Always use this unless you are writing to a very close colleague.(標準的で安全な締めの言葉。親しい同僚以外には必ず使いましょう。)

The difference between a stiff email and a natural one is usually small. Here are the most common issues.
