How to Ask Questions in English at Work

By the end of this lesson, you will be able to say:

"Sorry to bother you, but could you explain the next step again? When is this due? Thank you so much. I really appreciate it."
Chapter 1 — When and Why

Where Will You Use This?

Here are 6 real situations where you will need to ask questions at work:

  • Starting a new job: When you need to understand your tasks and the company's rules.

  • Working on a team project: When you need to know who is doing what and when.
  • Joining a meeting: When you want to ask for clarification after someone explains something.

  • Feel more confident:
Chapter 2 — Core Pattern

The 3-Part Core Pattern · 3

A good workplace question has three parts. Use this simple template every time.

"[Polite opening], [your question]? [Thank you / closing.]"

What each part does · 各パーツの役割

  • Polite opening — "Sorry to bother you," / "Excuse me," / "Do you have a moment?"
  • Your question — keep it short and specific. Ask about one thing at a time. Use "could you".
「Could you ~?」
  • Thank you / closing — "Thank you," / "I appreciate it," / "Thanks for your help."
Example A: "Sorry to bother you, but could you explain the next step again? Thank you so much."
Example B: "Do you have a moment? I wanted to check — when is this report due? I appreciate it."
Example C: "Excuse me, could you tell me which task I should focus on first? Thanks for your help."

You
Sarah, do you have a moment? I wanted to ask about the new project.
Sarah (Manager)
Of course! What's on your mind?
You
Thanks. I'm not sure where to start. Could you walk me through the first few steps?
Sarah (Manager)
Sure. First, check the client brief on the shared drive. Then, write a short outline — nothing too detailed. Just the main ideas.
You
Got it. And when is the outline due? I want to make sure I'm on track.
Sarah (Manager)
By end of day Thursday. That gives you a couple of days.
You
Perfect. One more thing — should I send it directly to you, or post it in the team folder?
Sarah (Manager)
Send it to me first. I'll review it and let you know if anything needs changing.

You
Hey James, sorry to bother you. Do you have a sec?
James
James (Colleague)
Yeah, sure. What's up?
You
In the meeting just now, I didn't quite catch what Mike said about the survey. Could you explain it again?
James (Colleague)
Oh yeah. He wants everyone to fill out the survey before Friday. It's about the new system rollout.
You
Ah, I see. And is it online, or do we get a paper version?
James (Colleague)
It's online. He'll send the link by email this afternoon.
You
Okay, great. And just to confirm — it's for everyone on the team, right? Not just the managers?

Yeah, everyone. It only takes about five minutes.

Mark (Colleague)
Absolutely. I've been looking at your draft — it looks great overall.

You
Thank you. I had a few questions, if that's okay. I wasn't sure about the format for Section 3. Could you clarify what kind of data I should include?
Mark (Colleague)
Good question. For Section 3, focus on the sales numbers from Q1 and Q2. Just the totals — no need for a full breakdown.
You
Got it. And should I use a table or a chart? Which do you prefer?
Mark (Colleague)
A simple table works fine. It's easier to read in a PDF.
You
That makes sense. One more thing — what's the final deadline for the full report?
Mark (Colleague)
We need it by next Wednesday. Does that work for you?

Mark (Colleague)
That's perfect. Thanks for being so organized.
Chapter 11 — Sounding Natural

Fluency Tips: Before vs After · 自然な英語のコツ

Many learners can ask a simple question. But natural speakers do a little more. Compare the difference below.

Tip 1: Add a reason or context ·

❌ Too short / Flat
What is the deadline?
✅ Natural / Warm
I want to plan my week — when is this due?

Tip 2: Use "just" to soften · 「just」でやわらかく

❌ A bit demanding
Is this the right file?
✅ Lighter & softer
I just wanted to check — is this the right file?

Tip 3: Confirm before asking again ·

❌ Abrupt
I don't understand.
✅ Clear & easy to answer
So we need to send the report by Friday — but I wasn't sure about the format. Could you clarify that?

Tip 4: Rising intonation for yes/no · 文末を上げる

❌ Flat tone
Is this due on Friday. (falling)
✅ Engaged & natural
Is this due on Friday?↑ (rising)
Chapter 12 — Common Mistakes

5 Mistakes to Avoid ·

Japanese learners often make these mistakes when asking questions at work. Check if you make any of these!

❌ Mistake 1 — Being too vague
"What about this?"
✅ Better
"Could you explain this part again? I wasn't sure about the second step."
❌ Mistake 2 — Sounding like you are blaming someone
"Why did you do it this way?"
✅ Better
"Could you help me understand why this approach was chosen?"
❌ Mistake 3 — Asking too many questions at once
"When is the deadline, and what format, and who do I send it to, and should I cc my manager?"
✅ Better
Ask one question at a time. Start with the most important one.
❌ Mistake 4 — Forgetting to say thank you
(Asks question, gets answer, walks away)
✅ Better
"Thank you so much. That really helps." / "I appreciate your time."
❌ Mistake 5 — Apologizing too much
"I'm so sorry to bother you. I'm really sorry. I know you're busy. Sorry…"
✅ Better
"Sorry to bother you, but I have a quick question."
